SMS Payment Reminder Automation

The Challenge
Organizations with outstanding client balances faced limited options for collection outreach. Staff could make manual phone calls—time-consuming and inconsistent. They could send letters—slow and often ignored. Or they could simply wait, hoping clients would remember on their own.
None of these approaches scaled. An organization with hundreds or thousands of delinquent accounts couldn’t realistically call each one. Letters cost money and arrive days later. The result was inconsistent follow-up, missed collection opportunities, and staff time consumed by repetitive outreach that delivered poor results.
The organizations needed automated outreach that would actually get paid—not just send messages, but send the right message at the right time with a frictionless path to payment.
Our Approach
The technical implementation was straightforward: integrate with an SMS API, build scheduling logic, connect to account data. But the strategic decisions mattered more than the code.
We timed reminders around paydays. Messages go out on the 1st and 15th of each month—when most people have just been paid. A reminder arriving on the 8th or 22nd catches empty bank accounts. A reminder on the 1st catches money that hasn’t been spent yet.
We included direct payment links. Every message contains the balance amount and a link that goes straight to the payment portal. No logging in, no navigating menus, no friction. Tap the link, enter payment information, done.
We built for compliance from the start. SMS marketing and reminder systems fall under TCPA regulations. Opt-out handling isn’t optional—it’s legally required. We designed the compliance layer as core functionality, not an afterthought.
The Solution
The platform queries account data on the 1st and 15th, identifies any client with a delinquent balance, and dispatches personalized text messages through Plivo’s API. Each message includes the specific balance owed and a direct link to the payment portal.
Batch processing handles volume efficiently. Organizations range from small operations to large deployments with thousands of delinquent accounts. The system processes and dispatches messages in batches, managing API rate limits and ensuring reliable delivery across the full queue.
Opt-out handling processes replies automatically. When someone texts STOP, the system immediately flags their record and halts future messages. But we added a layer of operational intelligence: opt-outs often indicate changed phone numbers rather than genuine opt-out intent. The system creates a staff alert prompting verification of the phone number on file. This catches bad data that would otherwise silently degrade the contact list.
Delivery tracking surfaces failed messages through a staff-facing widget. When texts don’t deliver—bad numbers, disconnected phones, carrier issues—staff see them immediately and can follow up through other channels. The system handles the automated outreach; staff handle the exceptions.
Message history maintains a complete audit trail. Every message sent, every reply received, every opt-out processed—all logged and tied to the client record. This matters for compliance documentation and for staff context when interacting with clients.
The payment reminder component was one piece of a broader SMS platform we built. The same infrastructure supports on-demand messaging from within the case management system, appointment reminders, scheduled notifications, and any triggered communication use case. Organizations adopted the payment reminder feature first, then expanded into other SMS applications as they saw the channel’s effectiveness.
Results
The platform now operates across more than fifty organizations, sending automated reminders twice monthly to all accounts with outstanding balances. The impact on collections was immediate and sustained.
Organizations consistently report collection increases of thirty percent or more after deploying automated reminders. Some see even higher improvements, particularly those that previously had minimal outreach processes. The math is simple: people who receive a reminder with a payment link on payday are dramatically more likely to pay than people who receive nothing.
Staff time shifted from manual outreach to exception handling. Instead of making phone calls that might reach someone, staff now focus on the accounts that automated systems can’t reach—failed deliveries, opt-outs with potentially bad numbers, accounts requiring special attention. The routine outreach handles itself.
Compliance management became automatic rather than manual. Opt-outs process immediately without staff intervention. Audit trails generate automatically. Organizations can demonstrate TCPA compliance without maintaining manual records.
The strategic timing proved as valuable as the automation itself. Reminders arriving on the 1st and 15th consistently outperform other schedules. Understanding when people have money matters as much as reaching them at all.
