Legacy iSeries to Zoho CRM Integration
A global fastener manufacturer—one of the largest in the apparel and industrial fastening industry—wanted to modernize their sales operations using Zoho CRM. The obstacle wasn’t resistance to change. It was infrastructure reality: their entire business ran on a legacy iSeries system dating back to the early 2000s.
This iSeries integration project wasn’t about replacing manual data entry or saving hours of work. They had no CRM capability at all. Everything—parts, inventory levels, locations, purchase orders, sales orders, invoices—lived exclusively in the AS400. We needed to build a bridge between legacy infrastructure and modern tooling that would make Zoho CRM adoption possible.
The Challenge
The manufacturer faced a common legacy system modernization dilemma. Their iSeries contained decades of business-critical data and proven processes. Abandoning it wasn’t realistic—too much institutional knowledge embedded in those systems. But they also couldn’t leverage Zoho’s modern CRM capabilities without getting that data out of the AS400 and into a platform their sales team could actually use.
The technical barriers were significant. Development had to happen off-network since we couldn’t access the iSeries directly during development. The data model wasn’t designed for CRM export—creating a single Zoho record often required joining multiple iSeries tables and interpreting legacy stored procedures. And the iSeries allowed data inconsistencies that modern systems would reject outright.
Our Approach
We designed a manufacturing software integration architecture that respected their infrastructure constraints while delivering modern capabilities:
Connection Strategy: Built a C# .NET console application deployed to an on-site Windows machine within their network. The application connects to the iSeries via ODBC database connection and pushes data to Zoho CRM through OAuth-authenticated REST API calls.
Data Discovery: Spent the first two weeks mapping their iSeries data model—analyzing stored procedures, understanding table relationships that weren’t documented, and working closely with their internal team to ensure accurate data translation.
Deployment Model: Windows Task Scheduler triggers daily synchronization at 5 AM, ensuring Zoho reflects current iSeries state before each business day begins.
The Solution
The Zoho CRM integration synchronizes core business data from iSeries to Zoho daily:
Account and customer records flow into Zoho’s standard CRM objects. Product items sync to custom Zoho modules we built specifically to handle manufacturing data structures—these custom modules enable proper linking on purchase orders and sales orders within Zoho’s ecosystem. Inventory levels, warehouse locations, purchase orders, sales orders, and invoices all transfer through the same pipeline.
The data transformation layer handles the complexity of mapping legacy ERP integration patterns to modern CRM structures. A single Zoho record might require data from three or four iSeries tables, joined correctly and validated before transmission.
Error Handling
The error handling system became one of the most valuable pieces of this AS400 API integration—and it reflects the kind of mature thinking that separates working integrations from reliable ones.
Legacy systems allow data inconsistencies that modern platforms reject. A sales order might reference a product that doesn’t exist in the expected format. An account might lack location data that Zoho requires for downstream order linking. The iSeries accepted these edge cases over decades of operation; Zoho won’t.
We built a custom Zoho module specifically for capturing and managing sync failures. When a record fails validation, the system captures full transaction context—what failed, why it failed, and all related data. Each error gets stored in the custom module for daily review by their team.
The system includes a resync flag allowing retry after user correction, plus an automatic retry cycle that attempts resync every few days. Where we had enough information, errors auto-correct by creating missing iSeries data. Clear flagging distinguishes what requires human intervention from what will auto-resolve.
This approach means the integration is self-healing where possible and actionable where human intervention is genuinely needed. Their team isn’t drowning in false alerts, and legitimate issues don’t slip through unnoticed.
Results
The integration delivered what the manufacturer actually needed: the ability to operate in Zoho CRM while their core iSeries infrastructure remained untouched. This wasn’t incremental improvement—it was capability creation. Before the integration, modern CRM functionality simply wasn’t available to their sales team. After deployment, they had full daily synchronization of accounts, products, inventory, orders, and invoices flowing into a platform designed for modern sales operations.
The self-healing error system reduced manual intervention to genuine edge cases rather than routine maintenance. Custom Zoho modules extended the platform to handle manufacturing-specific data structures that standard CRM objects couldn’t accommodate. The entire project—discovery through deployment—completed in six to eight weeks.
Most importantly, we built a bridge between early-2000s infrastructure and modern CRM capabilities without forcing them to abandon systems that had served reliably for decades. Their iSeries investment remains protected while their sales team operates with contemporary tools.
